This Article will inform you what the different columns and tabs mean inside your Pipeline
When you first enter in an applicant's information, they will be saved in the Pipeline. The entries in the Pipeline serve as an applicant profile and will only show you the most recent background check that was run on them. To view all of the background checks, you will need to go into the Background Checks tab in your left-hand menu
Search
When you start entering in your applicants, if you need to locate a specific applicant or pull up the applicants in a Department (feature available in Bundle 4), you can search and filter using this on top of the pipeline
Last Name - Search an applicant in your Pipeline by their last name
Department - Available to Bundle 4 subscriptions. Filter all applicants under that Department
Pipeline Columns
The Pipeline has 13 columns altogether:
- Checkbox - You are able to choose an applicant individually by clicking on a box next to an applicant's name, or you can select multiple
- Report -This will be the most recent report that was ordered on this applicant
- If there is a "P" under the Report column, this means that the background check is still pending at the moment
- If there is a "C" under the Report column, this means that the background check is completed
- If you need to view any other background checks that were ran on your applicant, and not the most recent one, you will want to go into your Background Checks tab in your left-hand menu
- Training - The Training status for this applicant
- If there is a "P" under the Training column, this means that the Training has not yet been completed
- If there is a "C" under the Training column, this means that the Training has been completed
- To view the score, go into the Training tab in your left-hand menu, and click on Complete
- Auth- If the Online Consent Form link was sent to the applicant, this column is a way to track the status
- If there is a red X under the Auth column, this means that the Online Form has not yet been completed
- If you entered in the applicant's information manually, the red X will stay under the Auth column until the background check has been ordered
- If there is a green checkmark under the Auth column, this means that the Online Form has been completed
- If there is a red X under the Auth column, this means that the Online Form has not yet been completed
- Applicant Added - This will show you the date that this applicant was first added into the system.
- Note: This is not the background check ordered date
- When the applicant completes the Online Form, the Applicant Added date will be updated to the form completion date
- First - Applicant's first name
- Last - Applicant's last name
- Phone - Applicant's phone number
- Department - The Department that this applicant is assigned to
- Only available for Bundle 4 subscriptions
- Position - The Position that this applicant is assigned to
- Only available for Bundle 4 subscriptions
- Email - Applicant's email address
- Stage - The Stage that this applicant is in
- Only available for Bundle 3 subscriptions
- Active - Track if this applicant is still with your organization or not
- If there is an "N" under this column, this means that a user manually marked this applicant as not active.
- You are still able to run background checks on applicants that are not active. This will only affect the applicant going into the Due for Rescreen section
- If there is an "N" under this column, this means that a user manually marked this applicant as not active.
Pipeline Tabs
Under the Pipeline tab in your menu
Create New - Takes you to the Applicant Detail Page to enter in applicant information, or to send out the Online Consent Form
Unassigned - Applicants that have completed the online form but have not yet been assigned a Stage (Only available for Bundle 3 and higher)
New - Applicants that have been entered into the Pipeline, but have not yet completed an online form. Once the applicant completes the online form, they will automatically be assigned to Unassigned.
Stages - Only available for Bundle 3 and higher. Stages are extra folders to help organize your applicants. You are able to rename the Stages.
Archive - There is not a way to delete an applicant completely, but you can move them to the Archive. But, there are different ways to use the Archive stage. It is up to you to decide what works best for your organization.
