Ordering a Background Check

This article will go over the steps to order a background check. View the video tutorial on the bottom!

Forms

Before you order your background check, you will need to collect consent from your applicant. We offer paper consent forms on your account if your organization does not already have a consent form. 

When you first log into your account, you will be taken to our Announcement Page:

The consent forms will be listed under the Compliance Documentation section, near the bottom of the screen

  • You will typically need the "Background Investigation - Notice (Authorization and Consent Form)" and the "Applicant Data Collection Form"
  • You will be asked to send your applicants the "A Summary of Your Rights Under the Fair Credit Reporting Act"
    • If you send out the Online Consent Form (available with the Bundle 2 subscription and high), the Summary of Your Rights document will be available to the applicant through the online form

Applicant Detail Page

Once you have the consent form and the applicant's information, you are able to order the background check inside your account

  • Click on the New Order option under the Background Checks

  • The asterisked fields are required fields, excluding street address and city
  • Once the required information is entered in, you will need to click on the Submit button.
    • The Send Online Consent form Link to Applicant button is only available for Bundle 2 or high subscriptions

  • Billing Ref - If you have Billing References set up, you are able to choose which Reference to assign to this applicant
  • Package - Types of background checks that you are able to order
    • If you see the "Minimum Recommendation - Click here for explanation" next to a package, this is what is suggested to order based on our National Map
  • A La Carte - If the A La Carte bubble is selected under Packages, you are able to select any individual services under this menu 
  • Search AKA (Maiden Name) - If your applicant has an additional name and you are ordering the Plus package, the only way for the county or state court to look for any records under that additional name is if you have this checked off
    • This AKA search is $10.50 for any additional names, plus any mandatory county or state fees if any

Criminal Search (County or Statewide)

If you are ordering the Plus package or a search that includes a county or statewide search, the next page will allow you to choose the Statewide search or the County search

  • When you have selected the Statewide or the County option, you will be able to choose the State or County and State to search in
    • If an address was entered in, or your applicant has completed the online form (only available with Bundle 2 and higher) the State and County fields will automatically be filled out with their current address
      • You are still able to change the State and County fields if needed
    • If you have the city and state, or the zip code of the County, you are able to click on the "Click Here" to search for a County by the city and state or by the zip codeClick_Here_to_search_by_zip_code_or_city_and_state.PNGAdvanced_Search.PNG
  • When you have the County or State selected, you will need to click on the "Use this County" or "Use this State" button

This next page will give you the option to add another County or Statewide search or to set the current County or Statewide search as a Default

  • Add Another Search - This will take you back to the Criminal Search page to choose another County or Statewide search
    • Note: Any additional County or Statewide search will be an additional cost 
  • Set as Default Per Client -The current County or Statewide search will be saved in your account. The next time you order the Plus, this County or Statewide search will automatically appear and you won't need to do anything else but click on Next
    • Note: You are able to delete the Default County or Statewide search, but this will not delete it from your account. You will need to contact Support to remove the Default completely

Summary Page

The last page will be the Summary Page to review your order

  • Make sure to click on the checkbox next to "Cleck here to certify that you have secured authorization and will adhere to these legal requirements"
  • This is confirming that you have the applicant's consent form
    • If you have sent the applicant an online form (only available for Bundle 2 and higher), you do not need another consent form 
  • Click on the Submit for Background Check button
