Set Up Protect My Ministry Integration

Before starting the process inside of Planning Center, make sure you have an account with Protect My Ministry. Even if you are an existing client with Protect My Ministry, you MUST go through the sign up process to properly integrate your account

  • To sign up with this new integration, click on the dropdown in the upper left hand corner in Planning Center and select Account Settings

  • Select Integrations in the left hand menu

  • Under Integrations will be a "Protect My Ministry 2.0" widget with a link to "Sign up today"

  • You will go through a sign up form for Protect My Ministry. This will have Protect My Ministry create and update your account to properly integrate with this new integration
    • You MUST complete this, even if you are an existing client with Protect My Ministry
    • If you do not go through the sign up process, you will receive an error while trying to order background checks.

Enable PMM Add-Ons

  • After signing up with Protect My Ministry, go inside of your Planning Center account and click on the drop down in the upper left hand corner. Then, click on the Account Settings options

  • Select Integrations in the left hand menu

   

  • Under Integrations will be a "Protect My Ministry 2.0" widget
  • Click on the Connect button

There will be a pop up asking to Enable 2.0 Protect My Ministry

Authenticate PMM Accounts

Now with the PMM Add-Ons turned on, let's go back into the People Dashboard by going into the dropdown menu in the left hand corner and click on People.

  • Search for a person inside of Planning Center and open their profile
  • Click on the badge in the upper right hand corner and select "Order background check with Protect My Ministry 2.0"

  • You will get a pop up asking to connect your Planning Center account to Protect My Ministry
  • Click on the Authorize button

  • Another window will pop up to Allow access
  • Click on Allow

  • Another window will pop up asking for your Protect My Ministry credentials. These would have been created by you through the sign up form

Ordering a Background Check

Now that Protect My Ministry is authorized and enabled, you can now order background checks. 

An Online Consent Form will be sent to the applicant to collect the required information needed to run a background check and the applicant's consent. This will be stored in the Protect My Ministry side. 

Invite Details

  • Inside of Planning Center, pull up a profile that a background check needs to be ran on, and click on the the badge icon in the upper right and click on "Order background check with Protect My Ministry 2.0"

  • A popup will appear to select the type of background check to order on this candidate and the type of Child Safety Training, if needed.

      • Screening Level - What type of background check to order. You will have three types of background checks defaulted inside of the account, Essential, Preferred, and Premier. To add any other types of background checks, see here see here for instructions on how to add Custom Packages
      • Volunteering Location - The state where the employment/volunteering will take place. This will default as the state from the applicant's address in their Planning Center profile. This will not affect the background check
      • Add Child Safety Training - If you would like this applicant to go through The Child Safety Training. The Child Safety Training is a series of videos with a test at the end about child abuse awareness. This feature is a yearly cost. If you have not signed up with this feature, please contact our Support team at support@protectmyministry.com or call 800-319-5581

  • After filling out the required fields, click on the Continue button for the next page, to send out the online consent form link

Review & Send

  • The email address that is inside of the applicant's Planning Center profile will automatically fill out in the email address field to send out the Online Consent Form. 
    • If the applicant wants to have the Online Consent Form to a different email address, you are able to input a different email address

  • Billing References are optional and will only show up on your invoice to group together applicants that you've ordered background checks on. These will not affect the background check
  • To create a Billing Reference, either set them up inside of the PMM Portal, or select Create a new reference
    • *Note* Creating a new Billing Reference on this page will not be saved. If you need to reuse this Billing Reference, you must create it inside of the PMM Portal.

  • The last step is to Sign FCRA Certification and you will be able to click on the Send Invite button to send the applicant the Online Consent Form
    • *Note* - Even though this says Fair Credit Report Act, this does not mean a credit report is ordered on your applicant.

  • You will receive a confirmation page that the invitation was sent out.

 

Review Background Check Results

Once the background check has been completed, you will receive an email notification to let you know that the check is completed. The badge inside of the person's profile will be yellow for "Needs Review"

  • Click on the badge dropdown inside of the applicant's profile in Planning Center and you will see "Needs Review - View details"

  • A pop up will appear with the background check status. You will be able to see when the background check was completed and a link next to "Source" will be to view the results of the background check in a PDF file.

  • Opening the PDF of the background check results will allow you to mark the report as Clear (Eligible) or Not Clear (Escalate)

  • After clicking on Save Assessment, this will update the badge inside of the Planning Center profile.

 

Background Check Status

Once the invitation for the Online Consent Form is sent out to the applicant, the badge icon in their profile will show you where in the process the background check is

 

  • Awaiting applicant - The Online Consent Form link has been sent to the applicant and is waiting for the applicant to finish the form.
  • Report processing - The applicant has completed the Online Consent Form link and the background check has been sent to Protect My Ministry to complete
  • Needs review - The background check has been completed from Protect My Ministry and requires you to review the results. You will be able to manually update the badge to show if the background check is Cleared or Not Cleared
  • Expired invitation - The link to the Online Consent Form has expired and will need to resent. Once the link is sent out, it expires in 30 days
  • Completed (Not Clear) - The background check is Not Clear based on you and your organization's requirements. 
  • Complete (Clear) - The background check is Clear based on you and your organization's requirements. 
  • Canceled - The link to the Online Consent Form has been canceled

Background Check Dashboard

The Background Checks Dashboard is a tab inside of the People portal inside of Planning Center under Dashboards

  • This dashboard will show you all background check requests which you can filter.
    • The dashboard will have a default filter for Current Checks.

  • Created Date - The date when the request for the Online Consent Form link was sent out
  • Source - If this request was through the Protect My Ministry integration
  • Check Status - This is the status of the background check for the candidate. See Background Check Status
  • Status Updated Date -  The date that the background check changed to a new status
  • Expiration Date -  The date that the Online Consent Form link will expired before a new link will need to be sent out
  • Completed Date - The date that the background check has been completed from Protect My Ministry

Bulk Ordering

You will have the ability to send out multiple Online Consent Form links and Child Safety Training if you need to bulk order background checks. 

  • From inside of Dashboards, go to the Background Checks tab

  • Then click on the New Background Check button in the right corner to choose Order background check with 2.0 Protect My Ministry

  • You will get a pop up where you can enter in the candidates names that a background check will need to be ordered on. 
    • The email address that the Online Consent Form link will be sent to will come from the email address inside of the candidates' profiles. 

  • All of the candidates will be listed that can be deleted from the order, if needed. Once all the candidates you need are listed, click on the Continue button

  • The next page is where you would choose the type of background check
